Who controls your information
Mizan Institute of Technology (MiT), located in Addis Ababa, Ethiopia, is responsible for deciding how personal information is used across this website, admissions, the learning management system (LMS), institute operations and related services. This policy applies to applicants, students, guardians, instructors, staff, job and internship candidates, clients and website visitors.
Information we collect
We collect only the information reasonably needed to provide education, administration, payments, support and institute services. The exact fields depend on how you interact with Mizan.
- Identity and contact data: name, email, phone, address, date of birth, profile photo and account identifiers.
- Admissions and student records: selected courses, attendance mode, academic background, application answers, national ID images, transcripts, guardian or emergency-contact details and scholarship evidence.
- Financial records: invoices, payment amount and status, transaction references, uploaded bank or mobile-payment receipts, discounts and refund records. We do not intentionally store full card credentials.
- Learning activity: enrollment, monthly-part entitlements, attendance, video and resource progress, quiz attempts, assignments, projects, grades, instructor feedback, evaluation requests and certificates.
- Career, internship and service inquiries: CVs, portfolios, certificates, GitHub or LinkedIn links, project briefs, messages and private attachments.
- Technical and security data: IP address, device or browser information, session records, access logs, audit events and security signals used to protect accounts and investigate misuse.
Why we use it and our lawful grounds
We use personal information to take steps requested before enrollment, deliver a course or service, administer our agreement with you, comply with Ethiopian legal and accounting duties, protect students and institute systems, and pursue legitimate educational and operational interests. Where consent is the appropriate basis, you may withdraw it without affecting earlier lawful processing.
- Review applications, create accounts, enroll learners and communicate decisions.
- Verify payment, scholarships and identity; issue invoices, entitlements, student IDs and verifiable certificates.
- Deliver lessons, track progress, enforce academic prerequisites and support instructors in assessment.
- Respond to support, contact, career, internship and client-service requests.
- Prevent fraud, secure accounts, keep audit trails and improve the reliability and accessibility of Mizan services.
LMS activity and MeriAI
The LMS records learning activity so students and authorized staff can understand progress and apply monthly access, payment and evaluation rules. If an OpenAI-powered Mizan assistant, AI Tutor or MeriAI feature is enabled, the question, relevant permitted course context and generated response may be processed by OpenAI to provide that feature. Do not submit national IDs, passwords, payment credentials or unrelated confidential information to an AI assistant.
AI output is assistance, not an official grade or institute decision. Instructors remain responsible for assessment, approval and feedback where human review is required.
Storage, documents and security
Sensitive uploads are stored as private objects, using configured S3-compatible storage in production or private local storage in development. Downloads use authenticated or time-limited access rather than public document URLs. Staff access is controlled by role-based permissions, including granular view, create, edit, delete and manage abilities, and important actions are recorded in audit logs.
- Encryption in transit, secure sessions, password hashing and rate limits protect common access paths.
- Least-privilege staff roles and per-user overrides limit who can see admissions, finance, academic and identity records.
- No online system is risk-free. We monitor, update and restrict access, but cannot promise absolute security against every event.
Processing outside Ethiopia
Some configured technology providers may process or store data outside Ethiopia. When this occurs, Mizan limits the information sent, selects reputable providers, uses contractual and technical safeguards where available, and evaluates the transfer in light of the service and sensitivity of the data.
How long we keep information
We retain records only for as long as needed for the purpose collected, the student or client relationship, certificate verification, dispute handling, security, and applicable educational, tax or accounting duties. Retention differs by record: unsuccessful applications and temporary uploads may be removed sooner, while academic, payment, audit and certificate records may need to remain longer. Data is deleted, anonymized or access-restricted when it is no longer required.
Children and guardian-linked accounts
Where a learner is a minor, Mizan may require a parent or legal guardian to participate in registration, payment or safeguarding decisions. Guardian-linked accounts receive only the child information authorized for the relationship, such as attendance, progress or payment status. A guardian must not use a child’s account or misrepresent the relationship.
Your choices and rights
Subject to applicable law and records Mizan must retain, you may ask to access, correct or update your information; request deletion or restriction; object to certain uses; withdraw consent; or receive an explanation of a decision. We may verify identity before acting and may keep a limited record of the request for accountability.
You can update ordinary profile details in your account where available. For national ID, payment, academic, guardian or certificate records, contact Mizan so corrections remain auditable.
Policy changes and contact
We may update this policy when services, providers or legal requirements change. Material updates will be posted here with a revised date and, where appropriate, communicated through the LMS or registered contact details.
